What do the job statuses mean?
Open — newly submitted, not yet actioned. In Progress — you're dealing with it (contractor booked, etc). Resolved — repair is done; job stays visible on the live dashboard. Closed — archived; disappears from the live view but remains searchable under the Closed tab.
How do I change a job's status?
Open the job by clicking on it in the table. Use the action buttons at the top of the detail panel — Mark in progress, Mark resolved, Close, or Reopen. Status changes are logged automatically in the job timeline.
How do I find a specific job?
Use the search bar above the jobs table — it searches across tenant name, property address, and job reference, and covers all jobs regardless of status (open, closed, resolved) while a search term is active. Click the × to clear and return to the filtered view. You can also use the filter cards (Live, Urgent open, Reminders, Open, In progress, Resolved, Closed) to narrow the list by status.
What are urgent jobs?
Tenants can flag a repair as urgent when submitting. Urgent open and in-progress jobs appear in the Urgent open filter and are highlighted in the table so they stand out.
Can I reopen a closed job?
Yes. Go to the Closed filter tab, click the job, and press Reopen. It returns to Open status and reappears in the live view.
Can I log a repair myself, without the tenant reporting it?
Yes — click ✎ Log a Repair in the dashboard header. Fill in the repair category, urgency, and description, plus any tenant and property details you have. The job is created instantly with a standard reference number (e.g. R-260630-005). If you enter the tenant's email, you can tick the option to send them a confirmation automatically.
A job has no tenant linked — what do I do?
Open the job and click Invite tenant → in the job detail panel. The invite form opens pre-filled with the property address. Once you send the invite, the new tenant is linked to that job automatically. Status updates are not blocked on jobs with no tenant — you can move any job through statuses at any time.
How do I email a tenant about their job?
Open the job and scroll to the message box at the bottom of the detail panel. Type your message and click Send ✉. The tenant receives a branded email with your message and the current job status. A note is added to the job timeline automatically.
How does the SMS option work?
When a tenant has a mobile number on their record, an Also SMS checkbox appears below the message box. Tick it to send your message by SMS as well as email. SMS requires Twilio to be active on your account.
Why is the message box pre-filled when I change a status?
Resolvr automatically fills in a suggested status update message (e.g. "Your repair has been updated — the current status is now: Resolved."). You can edit or clear it before sending — it won't send automatically, you must click Send.
How do I set a reminder on a job?
Open the job and click 🔔 Set reminder in the action buttons. Pick a date, add an optional note (e.g. "Chase contractor"), and save. The reminder appears on the job row in the table.
Where do I see overdue reminders?
An orange banner appears at the top of the dashboard when reminders are overdue. You can also click the Reminders filter card to see all jobs with due or overdue reminders.
How do I clear a reminder once it's done?
Open the job, click 🔔 Reminder (the button turns gold when set), and click Clear reminder in the popup.
How do I add a note to a job?
Open the job detail panel and scroll to the Notes section. Type your internal note and click Add note. Notes are only visible to agency staff — tenants never see them.
Can I copy a note to paste into my CRM?
Yes. Each note has a faint copy icon (⧉) on the right. Click it and the note text is copied to your clipboard with a brief "Copied!" confirmation — ready to paste directly into any CRM, email, or document.
Can I edit a note after saving it?
Notes can be edited by clicking the pencil icon next to them. The original text is preserved in the system log below.
What is the system log?
The system log records every status change, sent message, and system event automatically. It's a permanent audit trail — entries cannot be edited or deleted.
How do I copy a job summary for my CRM?
Open the job and click 📋 Copy summary at the bottom of the panel. A formatted text block (ref, date, status, priority, category, landlord, property, tenant, and note) is copied to your clipboard — ready to paste into any CRM, email, or document.
How do I forward a job to a contractor?
Open the job and click ➤ Forward to contractor. Select an existing contractor from the dropdown (auto-fills their details) or fill in name/email/mobile manually. The message is pre-filled with the full job summary. Add a mobile to enable the SMS option. Click Send — the contractor gets a branded email (and optional SMS), and a note is added to the job. New contractors are automatically saved to your 🔧 Contractors tab.
How do I export a single job as a PDF?
Open the job detail panel and click 📄 Export job in the footer (next to Copy summary). A formatted report for that job opens in a new browser tab — use your browser's Print → Save as PDF to save it. Useful for attaching to a complaint file, insurance claim, or landlord correspondence.
How do I produce a full dispute or audit report?
Click ⬇ Export Jobs at the bottom of the main jobs panel. Select which jobs, statuses, and content sections to include (timeline, notes, communications, landlord chain). Then either click ⬇ Save PDF → (opens in a new tab for browser printing) or ✉ Email report to send it to any email address — for example a landlord, contractor, or your own records.
How do I forward a job to a contractor?
Open any job and click ➤ Forward to contractor. A form opens with a contractor dropdown at the top — select an existing contractor to auto-fill their details, or type in a new contractor's name, email, and mobile manually. The message is pre-filled with the full job summary. Add a mobile number to enable the Also send SMS option. Click Send — the contractor receives a branded email (and optional SMS). If they're new, they're automatically saved to your Contractors tab. A note is added to the job recording who it was forwarded to.
Can I send a contractor an SMS as well as email?
Yes. Enter a mobile number in the forward form and an Also send SMS checkbox appears. Tick it and the contractor receives both a branded email and a brief text alert. If SMS fails for any reason, the email still goes out and the form shows what went wrong.
Where do I manage my contractor list?
Go to the 🔧 Contractors tab. Click + Add contractor to add one manually, or type a new contractor's details directly in the forward form — they're saved automatically when you send. Click Edit on any card to update or delete.
How do I get a tenant set up to report repairs?
Click + Invite Tenant in the dashboard header. Enter their name, email, and property address — they'll receive a personalised link with their details pre-filled. Alternatively, use 🔗 Share App Link to copy a general portal URL for tenants without an email address (WhatsApp, text, printed letter). The Invite route is preferred as it locks in their address automatically.
What does the tenant see when they open their invite?
They land on a welcome screen with their name, confirm their contact details, pick a repair category, describe the issue, and submit. The whole thing takes under two minutes. They receive a confirmation email with their job reference, and the job appears on your dashboard instantly.
What's the difference between Invite Tenant and Share App Link?
Invite Tenant creates a personalised link with the tenant's name and address pre-set — the property is locked in from the start, so all their jobs link correctly. Share App Link is a generic portal URL where the tenant fills in their own address. If they later type it differently, Resolvr spots the similarity and asks them to confirm it's the same property before continuing.
What information do I need to invite a tenant?
Their full name, email address, and property address. Mobile number is optional — only needed if you also want to send the invite by SMS.
How do I link a tenant to an existing job?
Open the job and click Invite tenant → in the job detail. The invite form opens pre-filled with the property address. Once sent, the new tenant is linked to the job automatically.
What does the Tenants tab show?
The 👤 Tenants tab shows every tenant record linked to your agency — created automatically whenever a tenant submits a repair, or when you use Invite Tenant. Each card shows their name, email, phone, number of jobs, date of last repair, and their registered property (if linked).
How do I link or unlink a tenant from a property?
On the tenant's card in the Tenants tab, use the Link property… dropdown to set their home property — this ties them into the Landlord → Property → Tenant chain. Click the ✕ Unlink button on the card to remove the link.
What's the warning flag on some tenant cards?
If a tenant's most recent repair job is linked to a different property than their registered one, a warning appears on their card. This lets you spot address inconsistencies — for example if a tenant moved but their record wasn't updated — and correct the link if needed.
Portfolio & properties
Where is the Properties tab?
The 🏘 Properties tab is always visible in the dashboard navigation. Properties are created automatically when you invite a tenant with an address or log a repair — you don't need to create them manually.
How do I link a landlord to a property?
Two ways: (1) Go to the Properties tab and use the "🏠 Link landlord…" dropdown on the property card. (2) Open any job for that property — if no landlord is linked, a dropdown appears at the top of the job body. Select one and it links instantly. If no landlords appear, go to the 👥 Landlords tab first to add some.
How do I unlink a landlord from a property?
Click the next to the landlord name in the job panel chain, or use Unlink on the property card in the Properties tab. You'll be asked to confirm first.
What does the Landlord → Property → Tenant chain show?
Once a landlord is linked to a property, every job for that property shows a coloured chain at the top of the job detail: 🏠 Landlord → 📍 Property → 👤 Tenant. Each has a ✉ icon — clicking it opens your email client pre-addressed to that person.
How do I add a landlord?
Go to the 👥 Landlords tab and click + Add landlord. Enter their name (required), email, phone, and any internal notes. Save — they appear in the list immediately and are available in the link-landlord dropdowns.
How do I email a landlord from a job?
Click the ✉ icon next to the landlord's name in the chain at the top of the job panel — it opens your email client addressed to them directly.
Do I have to use the Landlords feature?
No — it's completely optional. Resolvr works perfectly as a standalone repair tool without landlords. You only need it if you want to track ownership and send landlord notifications.
How does the certificate tracker work?
The 🛡️ Compliance tab tracks Gas Safety, EICR, EPC, Legionella, PAT, HMO, and other certificates per property. Each shows a RAG status: green = valid, amber = expiring within 60 days, red = expired. Alert emails go to your agency automatically at 60 days, 14 days, on the day, and daily after expiry.
Can I notify the landlord automatically when a certificate is expiring?
Yes. When adding or editing a certificate, a Landlord notifications section appears if the property has a landlord with an email address linked. Tick "Email landlord when this certificate is approaching expiry" and they'll receive their own branded alert on the same trigger days. Multiple certs for the same landlord are batched into one daily email.
Can the landlord also get an SMS reminder?
Yes — if the landlord has a phone number saved, a second checkbox appears to also send an SMS. Requires Twilio to be active on your account.
How do I set landlord notification as my default?
Go to ⚙ Settings → Certificate — Landlord notifications. Tick the options you want as default — they'll be pre-ticked whenever you add a new certificate. You can still override per certificate.
Account setup — for agency owners
How does sign-up work?
Sign-up is fully self-service at resolvr.pro. Click Start free, fill in your agency name, your name, email, and a password. Your account and branded tenant portal are created instantly — no waiting, no calls. Your portal URL is resolvr.pro/app.html?agency=yourslug.
How do I set up my agency branding?
Go to ⚙️ Settings. Drag and drop your logo onto the upload zone (PNG with transparent background works best). Set your brand colour — it appears on the tenant portal header and in all outgoing emails. Update your agency name and reply-to email, then click Save changes. Everything updates instantly across your portal and emails.
What do tenants see in terms of branding?
Tenants see your agency logo, name, and brand colour throughout the app and in every email. Resolvr appears only as a small "Powered by Resolvr.pro" credit in the footer — to tenants it looks like your own product.
What should I set up first?
In order: (1) Add your logo and brand colour in ⚙️ Settings. (2) Add your landlords in 👥 Landlords. (3) Add your regular contractors in 🔧 Contractors. (4) Invite your first tenant — they'll see your branded portal immediately. Properties and the chain build up automatically as you go.
How do I update my agency logo or brand colour?
Go to ⚙️ Settings. To upload a logo, drag and drop your image onto the logo upload zone — or click to browse. PNG with a transparent background works best. Update brand colour, agency name, and reply-to email here. Click Save changes — updates apply immediately across your portal and emails.
Can I use my own domain instead of resolvr.pro?
Resolvr doesn't provide custom domains — your portal is at resolvr.pro/app.html?agency=yourslug. If you want tenants to reach it via your own domain (e.g. repairs.youragency.co.uk), set up a redirect through your DNS or hosting provider. All plans include full white-label branding — your logo, name, and colour throughout.
How do I add another staff member to the dashboard?
Go to ⚙️ Settings → Team members. Click ➕ Invite a team member, enter their name and email address, and click Send invite. They receive a branded email with a link to set their own password. Only account owners can invite or remove team members. Note: adding a second staff member moves your account to the paid tier.
How do I set my display name and initials?
Go to ⚙️ Settings → My display name. Enter your name and click Save name. Resolvr derives your initials automatically (e.g. "Sarah Jones" → "SJ") and shows them on every note and status change you make — so your team can see who did what at a glance.
How do I set an out-of-hours phone number?
Go to ⚙️ Settings → Out-of-hours phone number. Enter the number (e.g. 07700 900123) and click Save changes. This appears as a tap-to-call button on the tenant emergency screen. Leave the field blank to hide the button — useful if you don't offer an out-of-hours line.
How do I set my WhatsApp number?
Go to ⚙️ Settings → WhatsApp number. Enter your number in international format without the + (e.g. 447700900123 for a UK mobile). This is used for the WhatsApp contact button in the tenant repair app. Click Save changes.

What's included on the free plan?
The full platform — branded tenant portal, job dashboard, certificate tracker, contractors, Jack AI, email notifications — for up to 10 active properties and 1 user. No credit card required.
When does paid billing start?
When you exceed 10 active properties, or add a second staff account — whichever comes first. The per-property rate drops as your portfolio grows: £1.50 (up to 50), £1.25 (51–100), £1.00 (101+).
What is an "active" property?
A property becomes active as soon as it has any record — a repair job, a certificate, or a manual entry. Active properties count towards your billing total.
How do I add a property manually?
Go to the Properties tab and click + Add property. Start typing the postcode or street name — a live address typeahead appears and suggests matching addresses. Select the right one and the full address fills in automatically. You can also type the address manually. Properties are also created automatically when a tenant submits a repair or when you invite a tenant.
How does property matching work when tenants report repairs?
Tenants type their postcode or street name on the repair form and select from a live address typeahead — the same Geoapify autocomplete used in the dashboard. This ensures addresses match consistently and prevents duplicates. If a close match is found but formatting differs slightly, the tenant sees a confirmation prompt before continuing.
How do I remove a property from billing?
Archive the property from the Properties tab — click the Archive button on its card. Archiving removes it from your active count immediately, but all job history and certificates are retained. Click Restore on the card to bring it back at any time. Note: if an inbound repair arrives for an archived property, it is automatically reactivated.
How do I set up two-factor authentication?
Go to ⚙️ Settings and scroll to Two-factor authentication. Click Enable two-factor authentication, scan the QR code with an authenticator app (Google Authenticator, Authy, or similar), then enter the 6-digit code to confirm. From that point, every login will ask for a code after your password. Recommended for all staff accounts.
I've enabled MFA — what happens at login?
After entering your email and password, a second screen appears asking for your 6-digit verification code. Open your authenticator app, find the Resolvr entry, and enter the current code. Codes refresh every 30 seconds — if one doesn't work, wait for the next one.
What if I lose access to my authenticator app?
Contact support@resolvr.pro — the team can verify your identity and remove MFA so you can regain access. There is no self-service recovery once MFA is enabled.
What happens if I enter my password wrong too many times?
After 5 failed attempts, the sign-in form locks for 5 minutes. A message appears with the remaining wait time and a link to reset your password. The lockout clears automatically — no action needed from Resolvr.
How do I reset my password?
Click Forgot password? on the sign-in screen. Enter your registered email — a reset link is sent immediately. The link is valid for a limited time and takes you to a secure page to set a new password. If you don't see the email, check your spam folder.
